Network printer not visible on the company network — what to check

A network printer usually "disappears" from the list of available devices for one of two reasons: it's not on the same network as the computer, or Windows has network device discovery turned off.

What to check, step by step

Check the printer and computer are on the same network

On the printer's screen, check the name of the WiFi network it's connected to. If the company has a separate guest network and a separate company network, a printer on "guest" will never show up on computers on the main network.

Turn on network discovery in Windows

Search "Advanced sharing settings" in Windows search, open it, and make sure "Network discovery" is turned on for your current network profile. Without it, Windows won't show any network devices, even ones that are available.

Check the network profile — private or public

Windows hides network devices by default if a network is marked "Public." In Settings → Network & internet → Wi-Fi, check that the company network is set to "Private."

Add the printer manually by its IP address

If automatic discovery still shows nothing, in Settings → Bluetooth & devices → Printers & scanners choose "Add device manually" and enter the printer's IP address (visible on its screen in the network menu). This skips discovery and connects directly.

When it's a job for IT

  • The printer and computer are on the same network, but adding by IP still doesn't work — possibly a firewall block or network segmentation (VLAN).
  • The problem affects many people and many computers at once.
  • The company uses a print server — configuring new workstations is best left to IT so the printer shows up automatically for everyone.
