Email not syncing on your phone — what to check

You can see new messages on your computer, but your phone seems oblivious? It's usually a matter of the phone's own settings, not a problem on the mail server side.

What to check, step by step

1

Check your phone's internet connection

Open any page in your phone's browser. If the internet isn't working (WiFi or mobile data), no mail app will sync new messages, no matter its settings.

2

Check battery-saving settings

Many phones aggressively limit background app activity to save battery — sometimes that includes the mail app. Check your phone's battery settings to see if the mail app is restricted or "optimized" in a way that blocks background activity.

3

Refresh the inbox manually

Pull the message list down to force a manual refresh. If that works but automatic sync still doesn't, the problem is specifically in the background sync settings, not the account itself.

4

Check whether the account needs signing in again

Mail apps sometimes quietly stop syncing if the login session expired (for example, after a password change on the computer). Check the account settings in the app for a sign-in error message.

5

Remove the account from the app and add it again

If nothing else helps, removing the mail account from the app and adding it back resets all sync settings — simple, but effective in many cases.

When it's a job for IT

  • The problem affects several people in the company at once — possibly an outage on the mail server side.
  • Re-adding the account fails with a login error, even with the correct password.
  • The company uses additional device management (MDM), which may block access from an unapproved phone.
